Stratum Shifts
Privacy policy

We collect what it takes to keep your schedules and publish them. We do not sell data, show ads, build profiles, or train AI models on your data. You can export or delete everything.
Who we are
Stratum Shifts is published by Leandre Orsino Jack, trading as Stratum ICS, Georgetown, Guyana. For anything about your data, email hello@stratumics.com.
What we collect
- Your account. Your email address and a hash of your password. We never store the password itself.
- What managers enter. The workplace name and settings; staff names, roles, optional staff email addresses, availability, time off and hour limits; and the shifts and notes for each week.
- Use inside ChatGPT without signing in. An anonymized user identifier that OpenAI provides, which we store only as a keyed hash, and a coarse timezone hint.
- Published weeks. When a manager publishes a week, the schedule is visible to anyone with its link: staff names, shift times, roles and notes.
- Technical logs. IP address, request time and the page or address requested, kept for up to 14 days for security.
- Billing. Polar collects your payment details. We receive your name, email, plan and subscription status, never card numbers.
Why we use it
- To provide the service: keep your team and schedules, fill and check weeks, and publish the links you ask for.
- To keep accounts secure, including spotting and stopping abuse.
- To send account emails (email confirmation and password reset) and, on the Team plan, the shift emails a manager asks us to send.
We do not show advertising, sell data, build profiles, or train AI models on customer data.
Who receives it
We use these processors to run the service. Each receives only what its job needs.
- Hetzner hosts our servers and database, in Germany.
- Resend delivers our emails.
- Polar takes payments for the Team plan as merchant of record.
- Cloudflare provides DNS only, which points our domain name at our server.
- The AI assistant you choose (OpenAI’s ChatGPT or Anthropic’s Claude) receives the tool results you ask for, and handles them under its own terms and privacy policy.
Anyone who has a published week’s link can see that week. We do not sell or rent personal data, and we do not share it with anyone else unless the law requires us to.
How long we keep it
- Workplaces made anonymously in ChatGPT are deleted after 120 days without use.
- Account data is kept until you delete the account.
- Deleting removes your data from the live database at once and from backups within 14 days.
- Technical logs are kept for up to 14 days.
Your controls
- Export. Download any week as a CSV file, or as calendar files.
- Delete. Delete your account and all its workplaces from your account page.
- Disconnect. Disconnect Stratum Shifts in ChatGPT or Claude at any time.
- Ask us. Email hello@stratumics.com to see, correct or delete your data.
Managers are responsible for having permission to enter their staff’s details. A staff member can ask their manager, or us, to remove them.
Children
Stratum Shifts is not directed at children under 13, and we do not knowingly collect their data.
Changes
When this policy changes, we post the new version here with its effective date.
